The fine print

Terms of participation

Last updated October 10, 2026

These terms cover two things: using this website, and taking part in the markets run by Flagstaff Mountain-Town Market LLC: the Flagstaff Mountain-Town Market in its Sunday City Hall, Pine Forest Saturday, Wednesday Heritage Square and Holiday Market editions, the City Hall Saturday markets run with Community Assistance Teams of Flagstaff, and the Tempe City Hall Farmers Market run with Proof Bread and the City of Tempe. Shoppers can stop after the first section. Vendors, volunteers and performers agree to the rest when they submit an application.

Visiting the market

Admission is free. Dates and hours on this site come from the market's published season calendar and can change; weather calls and day-of changes are posted on Instagram, which is the final word on whether a market is on. Everything you buy at the market is a purchase from that vendor, not from the market, so questions about a product, a refund or an allergen go to the vendor who sold it. SNAP and EBT are accepted by participating vendors where the market is listed as a SNAP retailer. The market is a safe, fun and inclusive space: disrespectful behavior should be reported to the market manager, and any act of violence, aggression, racism, sexism or other discrimination means immediate removal from the market, for shoppers and vendors alike.

Applying to vend, volunteer or perform

Submitting an application does not reserve a space. The market manager reviews every application and confirms, waitlists or declines it by email, and for the Flagstaff markets often by text as well. Do not pay any fee until you have that confirmation. The market generally accepts only vendors who personally make, grow, process or artistically modify what they sell; the full priority order and the rules on resale, sustainable packaging, canopy weights, auditing and conduct are printed on each application, and you acknowledge them when you apply. The rules and the indemnity agreement you sign are part of these terms, and the exact text you agreed to stays available in your portal under Rules and agreements.

Fees

Registration is charged per 10 by 10 foot space, with the options for each market (per market, per season, early-bird bundles, the Tempe Committed Founders Rate, and the no-fee tier for small, beginning agriculture) listed on that market's application. The Flagstaff Mountain-Town Market also charges a percentage of each day's sales, settled at the end of the market day, and that money pays market expenses and funds the smaller east-side and neighborhood markets. The City Hall Saturday markets' fees go to Community Assistance Teams of Flagstaff. The Tempe market charges no sales fee. Where a fee schedule has not yet been confirmed by the market manager, the portal labels every amount "to be confirmed" and nothing is billed automatically. Accepted payment methods are listed on the application and repeated in your confirmation.

Cancelling a date

Tell the market manager at least 48 hours before the market opens if you cannot attend. In the portal, cancelling 48 or more hours before opening time voids a registration fee you have not paid and turns one you have paid into an account credit; cancelling later than that gives no credit. Tempe Committed Founders Rate vendors may miss up to two weeks a season but still pay for the week missed. No refunds are given for markets cancelled for weather or missed by a vendor for any reason; any credit the market manager chooses to issue appears in your portal and applies to future charges, and credits are never paid out in cash. Full-season vendors who miss a market without 48 hours' notice may lose their seniority for the following year, and other vendors may lose their privilege to sell.

Market day and the end-of-market report

You bring everything you need to sell; the market provides the space. Canopies need at least ten pounds of weight on each leg. Single-use food service items must be paper or certified compostable. After the market closes you file an end-of-market report with your gross sales, the sales fee the site computes and how you paid it; reminders go out until it is filed. The market may audit sales as the rules describe, may ask a vendor to leave for breaking the rules, and gives no refund of fees when it does. You can appeal in writing to the owner at flagstaffmountaintownmarket@gmail.com and will hear back within a week.

Documents

Before you set up, the market must have on file the signed registration and indemnity, proof of the licenses and health permits that apply to what you sell, a transaction privilege tax license where one is required, liability insurance for value-added vendors, and for agricultural vendors a crop plan and consent to a farm, ranch or homestead inspection. Vendors accepting SNAP, Double Up Food Bucks or Farmers Market Nutrition Program benefits also need the signed program agreements. The portal shows each document's status and expiry date so you can renew it before it lapses. The Arizona permits guide explains which ones apply to you.

Seniority

Full-season vendors have first right of refusal for the following year. Waitlists are kept in the order requests arrive unless the market manager sets a different order for a market.

Using this website

The text, photographs, logo and design of this site belong to Flagstaff Mountain-Town Market LLC or are used with permission; you may share links and quote short passages with credit, but not republish the site. Vendor names and photographs appear only with the vendor's permission. We work to keep the schedule, map and vendor guidance accurate, but the site is provided as is: the published calendar can change, the permits guide is plain-language help and not legal or tax advice, and links to other sites are offered without any responsibility for their content. To the extent the law allows, Flagstaff Mountain-Town Market LLC is not liable for loss arising from your use of the site or from reliance on its content. These terms are governed by the laws of Arizona.

Changes

When these terms change we update this page and the date at the top. Rules printed on an application apply to that season as written; vendors with an open booking are told by email about any change that affects them.
